BILL WILSON CENTER JOB DESCRIPTION


JOB DESCRIPTION: Office Assistant/Billing Clerk – Mental Health Program (Transition Age Youth)
DEPARTMENT: Program Services
SALARY: Will depend on experience. Includes full benefits package (health insurance, dental, life, long-term disability, cafeteria plan, and retirement plan, plus a very generous Personal Time Off Plan).

SUMMARY
Receives potential clients at establishment, determines nature of business, and directs potential clients to destination; greets clients; completes paperwork to open cases in Medi-Cal Unicare system. Supports program manager and staff and performs other administrative functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Answers
, screens, and appropriately directs phone calls to correct staff.

Greets clients
, checks their appointment times, and notifies appropriate staff.

Assists in the
timely and correct
completion of Medi-Cal paperwork 

Submits all Medi-Cal paperwork to Symed in a timely manner.

Verifies all Medi-Cal paperwork
(e.g., SRDs, opening, closing, changes) is completed and correct

Checks client
s' Medi-Cal status on a monthly basis to
ensure they have Medi-Cal

Inputs entry into the Unicare System.

• Types memos, correspondence, reports, and other documents.

• Makes future appointments, makes reminder calls to clients, and answers inquiries.

• Assists with typing, making copies, word processing, and other data entry as needed.

• Collects and distributes mail and messages.

• Assembles, files, and pulls charts.

• Assists in chart audits.

• Supports psychiatrists with pulling charts, completing SRDs, reschedules appointments per doctors' requests, and calls clients to remind them of appointments.

• Attends County meetings regarding UniCare.

•  Completes monthly billing on time, ensuring it is signed by appropriate staff and sent to County in a timely manner.

• Keeps records of all staff PARCAs, licenses, O.I.G. paperwork, and Symed paperwork.

• Maintains monthly productivity report on all staff.

• Performs variety of other clerical duties as assigned to support the program.

• Other duties as assigned.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform all essential duties and responsibilities satisfactorily. Excellent computer, writing and communication skills required. Courteous phone manner is essential as well as attention to detail. Medi-Cal experience required.
